Driver User Guide

Everything you need to know about using SmartTMS as a driver.

Dashboard Overview

When you log in, you'll land on your Dashboard. This is your home base — it shows a summary of your day including assigned jobs, upcoming training, medical expiry, and scheduled leave.

Your dashboard is personalized — you only see your own data, not other drivers' information.

Your Profile

The Drivers page shows your driver record — your personal details, license information, employment type, and compliance dates. You can view your information but only admins can edit it.

If you need to update your license, contact details, or medical certificate, contact your fleet administrator.

Your Assigned Jobs

The Jobs page shows transport jobs assigned to you. Each job displays the reference, customer, origin and destination, pickup and delivery dates, status, and the vehicle you'll be driving.

Job statuses you'll see: pending (not yet started), assigned (you've been allocated), in_transit (underway), and delivered (completed).

Work Orders

Work Orders are operational tasks assigned to you. They include structured pickup and delivery addresses, priority level, due dates, and notes from dispatch.

Tap a work order to view its full details, including origin and destination addresses and any special instructions.

Submitting Declarations

Declarations are vehicle safety checks you complete before driving. There are two types:

  • Pre-start check — done at the beginning of your shift to confirm the vehicle is safe to operate
  • Pre-trip check — done before each specific trip; includes an odometer reading and defect reporting

To submit a declaration:

  1. Go to Declarations and click "Add Declaration"
  2. Select the check type (pre-start or pre-trip)
  3. Choose the vehicle you're checking
  4. Complete the checklist for each vehicle component
  5. If doing a pre-trip check, enter the odometer reading
  6. Report any defects found (with details if yes)
  7. Sign the declaration and submit

Always report defects honestly. Flagged declarations alert your admin so repairs can be scheduled — this keeps you and others safe on the road.

Logging Fuel

You can log your own fuel purchases from the Fuel Logs page. This helps track vehicle efficiency and claim reimbursements.

To log fuel:

  1. Go to Fuel Logs and click "Add Fuel Log"
  2. Select the vehicle (your assigned vehicle is pre-filled)
  3. Enter the date, litres purchased, and total cost
  4. Enter the odometer reading at the time of fuelling
  5. Select the fuel type (Diesel, Petrol, DEF)
  6. Optionally enter the station name
  7. Save — the log is recorded against your name

Enter the odometer reading accurately — it's used to calculate your vehicle's fuel efficiency (L/100km).

Managing Documents

The Documents page shows documents linked to your profile — your license, medical certificate, and other records. You can upload your own documents (like a new medical certificate) for the admin to review.

To upload a document: Click "Add Document", select the type (license, medical, registration, permit, other), upload the file, and optionally set an expiry date. The document is linked to your driver profile automatically.

Applying for Leave

You can request time off directly from the Leave page. Your requests go to an admin for approval, and you'll see the status update on your dashboard.

To apply for leave:

  1. Go to Leave and click "Apply for Leave"
  2. Select the leave type: annual, sick, unpaid, parental, or other
  3. Set your start and end dates
  4. Add any notes (e.g., reason for leave)
  5. For sick leave, upload a medical certificate
  6. Submit — the request is sent to your admin for approval

You can create leave requests but cannot edit them after submission. If you need to change a request, contact your admin to reject it so you can reapply.

The Daily Intelligence page gives you a quick overview of the day ahead — weather conditions, your schedule, and anything you need to be aware of before hitting the road.

Check this page at the start of your shift to stay informed and prepared.
